From Transcript to Action: A BOYA Notra Review Workflow
A long transcript is useful only when you can find the decisions and follow-up work inside it. The goal is to spend less time searching while keeping a reliable link to what was actually said. BOYA Notra combines recording with transcription and AI-assisted review; the final notes still need a person to check them.
Keep Three Different Records
Treat the original audio, the generated transcript and the approved notes as different records. Audio is the source to replay. A transcript helps you locate passages. A summary is a selective draft that can omit qualifications or misunderstand a speaker.
| Record | Useful for | Review before reuse |
|---|---|---|
| Audio | Checking exact wording and context | Confirm the file is complete and audible. |
| Transcript | Finding names, topics and approximate passages | Correct speakers, dates, figures and terminology. |
| Approved notes | Sharing decisions and next actions | Confirm owners, deadlines and unresolved questions. |
A Six-Step Review Workflow
- Name the recording with the meeting or project and a useful date.
- Generate a transcript using the relevant BOYA OS feature and available allowance.
- Correct the names and terms that matter to this project.
- Ask for a summary that separates decisions, proposals and questions.
- Replay the passages behind important commitments and figures.
- Share the checked notes with a named action owner and a review date.
A Prompt You Can Adapt
Illustrative prompt, not a product-output example: “Summarize this conversation under Decisions, Proposed Ideas, Open Questions and Next Actions. For each action, show the stated owner and deadline. If either was not stated, write Not confirmed. Flag names, amounts or dates that need human review.”
Do not assume that a fluent answer is supported by the recording. If the generated response cannot identify a reliable source passage, replay the relevant part yourself. Keep disagreement or uncertainty visible rather than smoothing it into a decision.
Review a Small Example
Suppose a speaker says, “I can send the draft on Friday if the figures arrive by Thursday.” A useful note preserves the condition: “Draft targeted for Friday; dependent on receiving figures by Thursday.” It should not become an unconditional Friday deadline. This is a constructed example, not a BOYA performance test.
Choose a Plan for the Work You Actually Do
Hardware specifications and software allowances are separate. Check the current BOYA OS plan, included transcription allowance, renewal terms and regional availability before relying on an AI feature. Review important names, numbers and conclusions against the source audio.
Estimate your usual recording volume and the amount you intend to transcribe. A short review routine is often more useful than generating several overlapping summaries that nobody checks.
Frequently Asked Questions
Can I skip checking the transcript?
For low-stakes personal reminders you may review selectively. Important commitments, amounts and sensitive statements should be checked against the source audio.
Are AI action items automatically approved?
No. An inferred owner or deadline is not a confirmed commitment. Mark anything not explicitly agreed as unconfirmed.
Where should I start with Notra?
Follow the device setup and recording guide, then test this review workflow on a short non-sensitive recording.
